When you need to make an adjustment to a specific selection of merchants within an agent’s portfolio, you can use Alternative Residual Templates to select a single, or any number of merchants within an agent/user’s portfolio.
To apply an existing template as an Alternative Template, you can navigate to Residuals > Residuals Management > Search for the user you want to apply the template to and hit the magnifying glass icon corresponding to that user.
Next, you will need to select the Month and Year that you want to apply the template to, and hit Apply New Template:
On this new window, you will need to select the Processor this is going to be used on and the Template you want to apply.
Selecting Mark as Persistent will apply the template to future months. Hitting the checkbox for Add as Alternative will designate that this is an alternative template, and this template apply to selected merchants.
Once you hit Apply, you can then select which merchant accounts to apply the template to. Clicking the gear icon will pull up a list of that user’s merchants.
- Selecting the gear icon under the Persistent templates (Right Side of the Screen) box will apply it to the selected month, and all months going forward.
- Selecting the gear icon in the box on the left side of the screen will apply it only to the selected month.
After selecting the gear icon Merchant Central will display the following window which shows you the portfolio of the user that you are viewing. You are able to then select which specific merchants you want to apply the template to by using the checkboxes on the left side of the table.
Once you have made your selections, you can hit OK and you will then be able to see that the Merchant IDs are now being displayed in the Alternative Template box.
Viewing Pricing Adjustments
If an item pricing has been modified using residuals templates, then such a change will be reflected in the residuals reports.
When an Administrator views the Sales Rep's residuals, they will see an info icon in the report header, which indicates that the report was modified using templates.
By clicking on the info icon, additional info icons will be displayed in the income or expense columns next to the accounts that were modified, highlighted by the beige marker in the screenshot below:
In this scenario, you can see that this user has a template named Expense: Transaction Fee that increases the Total Expenses of Grocery Store 312 by $10. In our example, this is the Alternative Template that was applied only to three specific Merchant IDs.
When viewing the other merchant accounts within this user’s portfolio, you will see that the template named Expense: Volume Fee was applied. This is the Main Template as shown in the screenshot above.
Multi Tab Import
Merchant Central now allows you to import a Multi Tab Excel file when importing your raw residual reports. Prior to this feature, a report with multiple tabs would need to be imported one sheet at a time and would be displayed separately, but now you have the ability to combine all of the sheets into a single tab.
You can start by importing the raw residual file as you normally would by navigating to Residuals > Residual Imports then you can drag and drop your report into the import section.
Once you select the Processor and Merchant Central recognizes there are multiple tabs, you will see a File Settings dropdown and a Merge Settings button. Using the File Settings dropdown, you can select which tabs you want to import into the report. To include the sheet in the import, hit the checkbox, then hit Merge Settings:
In the next window, you will be prompted to choose a Default sheet and select the columns that contain the Merchant ID and DBA. The Default sheet will be displayed first in the report and its headers will be unchanged, for all other sheets the headers will be prefixed by the sheet names.
In the above example, if Summary Tab is used as the default then its headers will appear first. After listing all of the columns from the default tab, the report will list the remaining tabs as Sheet Name: Column Name. Using the above example the second tabs columns will be displayed as Misc Fees: Merchant ID, Misc Fees: Merchant, etc.
Lastly, you can hit Save and submit the import and follow the standard procedure for mapping and importing residual reports.
