In this article, we'll show you how to upload a PDF document to CRM and configure the e-signature settings. We'll also show you how to set up an E-Signature Bundle that enable clients to sign multiple documents in a single session.
ℹ️ To create e-sign applications you need to have the 'Manage E-Sign PDFs & Mappings' permission enabled on your user class. Users with 'Manage E-Sign PDFs & Mappings by Group' permission (which can be enabled via the PDF_GROUPWIDE_PERMISSION feature flag) can only access e-sign applications assigned to their groups.
Creating the E-Signature Document
To create a new e-signature document open the Manage Applications page from the administration menu (E-Signature > Import PDFs):
When the page opens click Add New Application and use the popup window that appears to select your PDF file and the e-signature document settings:
Here are the explanations of the E-Signature settings:
- Category: This is the category that the e-signature document will be shown under on the lead.
- Application Type: Select eSignature Application, Generic Form (without e-signature capability), or eSignature Bundle.
- Display Title: This is the title that appears in the e-signature document dropdown on the lead.
- Document Name: This is the name of the PDF file that will be saved on the lead.
- Label: This label will be applied to the PDF document after it's generated on the E-Sign tab.
- Email Template: This is the email that launches automatically when an e-signature document is generated. The email template can be customized on the Email Templates page.
- Signed Template: This is the confirmation email that the client receives automatically after they sign the document. The email template can be customized on the Email Templates page.
- Signed Notification: Choose if the e-sign confirmation email (with the signed PDF document) will go out to both the sender and the recipients, or only the recipients. The sender notification can be sent out with or without the signed PDF document (based on the checkbox setting just below the dropdown menu).
- Signed Lead Status: When the document is signed the lead will move into the selected status state automatically.
- Password Field: Select a secure field (e.g. SSN) that will serve as the password for the generated PDF files. The password is set as the last 4 characters of the selected field's value. More info: Send Secure PDF In E-Signature Confirmation Email
- Label: This label will be applied to documents that have been signed.
- Confirmation Page: This page is displayed to the client after they sign the application. The page can be easily customized according to your needs. More Info: Confirmation Pages
- Help Banner: This is a customizable banner that can show your contact info on the e-signature page in case the clients need any assistance signing the document. More info: Help Banners
After selecting your e-signature settings, select the PDF file to upload and click Save.
Your new e-signature document is now saved and displayed on the applications page. You can manage the application using the action buttons on the app:
Creating an E-Signature Bundle
An E-signature bundle lets you group multiple documents into a single package, eliminating the need for sales reps to select each document individually and reducing the risk of selection errors.
ℹ️ This feature requires the ESIGN_BUNDLES feature flag to be enabled on your site. If it’s not currently available to you, please contact your administrator and request that they enable it.
To create an E-Signature bundle:
- Click Add New Application.
- Select eSignature Bundle application type.
- Enter your preferred display title.
- (Optional) Check Audit Trail per Document if you want a separate audit trail generated for each e-signed document in the bundle.
- Use the Add Application dropdown to include individual e-sign applications in the bundle.
- Use the arrow icons to reorder the applications as needed.
- Save your changes when finished..
Once saved, you can select the e-signature bundle from the E-Sign tab on your lead page;
