ISOs often receive updated merchant processing agreements from their processors. When a new version is issued, you can archive the previous E-Signature document and replace it with the updated one.
This guide explains how to create a new version of an E-Signature application by copying the PDF fields and mappings from an existing version—saving you from having to recreate mappings from scratch.
Steps to Set Up a New Version of Your E-Signature Application
1. Download the Current Version:
Open the Manage Applications page from the administration menu (Manage > E-Signature > Import PDFs) and download the PDF copy of the current E-Signature application (e.g., App #1).
2. Open Documents Side by Side:
Download the new version of the application from your processor. Open both the current and new PDF documents in Adobe Acrobat in 'Prepare Form' mode, viewing them side by side.
3. Clear New Document Fields:
Delete all form fields from the new PDF file.
4. Copy Existing Fields:
Copy every field from the current PDF (left side) into the new PDF (right side), and then save your changes. This ensures that the new application retains the exact fields, including the signature fields, as the previous version.
Note: You can mass-select fields by drawing a selection marquee over the fields. Simply click and drag your cursor over the fields you want to select.
5. Upload the New PDF:
Return to the Manage Applications page, create a new application (called App#2 in this example), and upload the new PDF file with the refreshed form fields.
6. Access the Mapping Page:
In the new application, click the Mappings button to open the mapping page.
7. Copy Mappings:
Click on Settings < Copy Mappings.
8. Select and Copy from Previous Application:
Choose the previous application that already has the mappings set up and click Copy. If desired, check the "Clear previous mappings" box to remove any manual mappings in the new application.
9. Finalize and Save:
The mappings from the previous application will automatically copy over to the new application and save your changes.
10. Complete the Update:
Once the new application is set up, you can either delete the old version or modify its access permissions so that it is no longer visible to users.
Note: If the new version includes additional fields or omits some from the previous version, review and map the new fields as needed.
Important: The system does not keep older versions of the PDF files in the system. We recommend that you download and backup your PDF file before starting to work on the e-sign app so you'll be able to restore it later if needed.
