Your CRM provides the ability to track visitor activity on your websites and to display the information right on your lead in real time.
The visitor activity information is also saved in the lead notes.
Knowing when prospective leads are opening their emails and visiting your website enables your sales reps to react in real time and follow up with a call, email, or SMS in the best moment.
In order to enable visitor tracking, your site administrator will need to add a tracking code to your website. For more information please see our article on Visitor Tracking Sites.
Tracking a Lead
If the visitor tracking has been enabled by your administrator, you will see a Track Visitors checkbox on your lead emails, which will be selected by default:
After you send the email, the lead's website activity will be automatically tracked and displayed on the lead.
If you don't wish to track a specific lead, then you can un-check the Track Visitors checkbox prior to sending the email.
If your administrator enabled the email open alert option on the email template, then you will also receive a notification once the lead opens your email.
The default visitor tracking option and the email open alert option are managed in the Email Templates.
Email Open Alerts
When a lead opens an email, all users assigned to that lead will receive a notification in the top right corner (which also features a 5-minute countdown timer):
You can access the lead directly from the notification popup by clicking on the lead's name.
To call the lead using the Dialer, click on the green phone icon in the notification popup.
The email open event will also be shown in the Lead's notes:
To preview the email click on the "eye" icon in the top right corner of the note.
Tracking Clicks and Page Views
When a lead clicks on a tracked link in an email, all users assigned to that lead will receive a notification in the top right corner:
The notification popup will continue to display information on the lead's activity, such as when they click on a different link in the email or view a different page on your website:
To see which pages the lead is viewing, simply click on the page link in the notification popup.
To jump to the lead, click on the lead's name at the top of the popup.
If you wish to call the lead, simply click on the Call button in the popup and the CRM Dialer will open up. You can also add a task, add a Lead note, send an email, or send an SMS message to your lead by clicking on the More button in the popup:
The information on the Lead's activity is also saved in the Lead notes:
In order to view only the visitor tracking notes and hide the other types of Notes, select the Visitor Tracking note filter on your Lead and unselect the remaining filters.
