The Portfolio Activity monitoring provides you with the information you need to make sure your portfolio is growing.
In addition to the Portfolio Activity page, you may also view the basic information on your portfolio using the Portfolio Overview tab on the home page, which features bar graphs for the last thirteen months.
Click the bar for a particular month and it will display the portfolio activity filtered for the matching bar segment (Processing, Not Processing, or Closed):
To view a more detailed report on your portfolio activity, open the Portfolio Activity page by navigating to Tools > Portfolio Activity:
The Portfolio Activity page consists of report filters, the volume and transactions charts, and the merchant report:
Portfolio Activity Filters
The Portfolio Activity filters are shown on the top of the Portfolio Activity page:
To view the Closed, Not Processing or Processing merchant reports, click on the corresponding report link and your report and charts will automatically refresh to display the required information.
A merchant is set as Processing once they have submitted an aggregated batch total over your batch threshold, for example, $10 (contact Merchant Central Support to adjust). This can be from a single day's batch or multiple days, so if a merchant's combined batches over 3 days meet the threshold (ex. Day 1: $3, Day 2: $5, Day 3 $2), the merchant will be marked as Processing (which will also trigger Started Processing notifications).
By filtering the report for Not Processing merchants you can ensure that new merchants are set up quickly and any issues that may be holding up an install are addressed faster.
The faster the merchants begin processing, the faster you begin to generate revenue.
If needed, you can also filter your report further by selecting a specific processor, data source, group, user, and time range using the provided drop-down menus.
Booked Volume and Transaction Charts
The Monthly Booked Volume and Transaction charts show how much volume and transactions you gained from newly acquired/processing merchants (green) in the selected date range.
Here you can also see how much volume and transactions you have lost due to attrition (purple), and how much they have yet to gain from accounts approved but not processing (red):
The volume and transaction metrics are driven by the information provided during merchant boarding in the CRM TurboApp.
The Merchant Report
The merchant report shows the basic information on each merchant, such as merchant's monthly volume, average ticket, processor, and others:
To view more detail on a merchant, click on their name in the Merchant column.
Managing the Report Columns
All columns in the merchant report table may be enabled or disabled.
To manage your report columns, click on the gear icon and select the columns that you wish to see in the report (and unselect those that you don't):
The following columns may be enabled in your report:
- #
- MID
- Merchant
- Monthly Volume
- Average Ticket
- Processor
- Datasource
- Group
- Processing History
- Access Permissions
- Notes
Managing Volume and Average Ticket
The Monthly Volume and Average Ticket information is automatically pulled from the TurboApp compatible processors, and displayed in the report.
If a merchant's processor is not TurobApp compatible, then their Monthly Volume and Average Ticket information may be edited manually. In this case, you will find two pencil icons next to the monthly volume and the average ticket values:
By clicking on the pencil icons, you may enter new Monthly Volume and Average Ticket values and save them:
Note that the manually modified monthly volume and the average ticket values will only be reflected in the Monthly Booked Volume and Transaction charts if both values have been entered.
If only one of the values was entered, then the information will not reflect on the charts.
Viewing Merchant Details
To view more detailed information on a particular merchant, open the Merchant Details page by clicking on the merchant's name in the Merchant column.
If the merchant has not yet been boarded, you can use the link provided below the merchant's name in order to access the TurboApp for merchant boarding:
Adding Report Notes
If needed, you may add notes to any report line item. The line item notes help keep everyone on the same page while making sure merchants are getting activated ASAP.
To add a new note to a specific line item, click the Add button on that item, enter your note, optionally select the Bonus Paid checkbox, and click Save:
Exporting Your Report
To export your merchant report, click on the Export button in the top-right corner of the report, select the Excel or CSV export format, and your report will be downloaded in a few seconds:
