Overview
The Merchant Central Calendar provides a centralized space to manage tasks, appointments, and team schedules—helping you stay organized and keep work progressing efficiently. You can create tasks and appointments directly from the Calendar page or from within a Lead record.
For added convenience, you can sync your Merchant Central Calendar with Google or Outlook, as well as manually export events to external calendars when needed.
You can further customize your experience through personal calendar settings, including work hours, appointment links, default event durations, and scheduling preferences.
Navigating to the Merchant Central Calendar
From the top navigation bar, click Calendar.

You can also manage appointments and tasks from the Calendar widget on your Home page, if it is enabled.
How Does the Merchant Central Calendar Work?
The Calendar page is divided into several sections that help you manage different calendar functions.
At the top of the page, the action shortcuts allow you to:
- Add a new task or appointment
- Send mass emails or SMS messages to selected leads in the calendar (available in List View only)
- Refresh the calendar to load the latest events or print the calendar page
- Set up calendar sync with your Google or Outlook calendar. More info: Syncing Google and Outlook Calendars with Merchant Central

Switch between Calendar View, List View, or Calendar & List View
The bar below the action shortcuts lets you filter calendar events by user, priority, and other criteria.
Below the filter bar are the navigation controls, which let you move through different dates and switch between month, week, and day views.
To the right of the calendar is the user selection sidebar. Use it to choose which Merchant Central users' events you want to display on your calendar.
How to Use Calendar and List Views
Calendar View is displayed by default. To switch to List View, click the three dots in the action bar and select List View.
List View provides additional lead details at a glance, such as the lead's current status, latest note, and phone number.
To display both Calendar View and List View, select Calendar & List View. The two views will appear one below the other.
How to Add a Task or an Appointment?
To add a task or appointment, click Add Event, choose the event type, enter the event details, and then click Add.
You can create events for yourself or other team members by selecting a user from the Set For dropdown.
Calendar appointments must be linked to a lead, while calendar tasks can be linked to a lead if needed. To link an event to a lead, start typing the lead name in the Link Lead box and select it from the search results.
To set the event start and end time, click the calendar icon in the time field to open the date and time picker.
You can also enter natural language in the time field, such as "next Monday" or "tomorrow at 2pm". The field can recognize common scheduling phrases and automatically convert them into a date and time. When a term is recognized, the selected date and time appear in green.
If the entered time is not recognized, an error message is displayed.
Use the gear icon next to the time field to quickly choose one of the preset time defaults.
ℹ️The time defaults can be managed on your personal Calendar settings page.
To create an event from a lead page, go to the lead's Events tab and click Add Task or Add Appointment.
How to Reschedule, Edit, or Delete Events?
To reschedule, edit, or delete an event, click the event in your calendar and update it as needed.
How to Send Mass Email or SMS from the Calendar?
The Merchant Central Calendar allows you to send mass emails or SMS messages directly to leads.
To perform a mass action, switch to List View, select the desired leads or events, and then click Mass Email or Mass SMS in the action bar.
If you are sending a mass email, the email pop-up appears, allowing you to choose an email template or write a new message before sending it. To review recipients before sending, click View Recipients.
The Mass SMS action works similarly. You can choose an SMS template or write a new message, preview recipients, and send the SMS.
How to View Other Users' Calendars?
To view another user's calendar events, click that user in the sidebar on the right. Each user's events are displayed in a different color on the calendar.
To change user colors, follow these steps:
- Go to Manage → Branding → Calendar Colors.
- To change the color for an individual user, click the Edit icon in the Actions column and update the color.
- To assign colors to all users who do not already have one, click Assign Random Colors.
