Overview
The calendar integration feature allows you to sync your Google Calendar or Microsoft Outlook (Office 365) with the Merchant Central calendar.
Once connected, any appointment or task created in Merchant Central will automatically appear in your linked Google or Outlook calendar. Each event includes key lead details such as the attendee, location, phone number, and a direct link to the lead.
You can also add meeting notes directly within the event in Google or Outlook. Notes added—whether on desktop or mobile—will automatically sync back to Merchant Central as a new note on the corresponding lead.
In addition to your own calendar, you can sync other users’ CRM calendars to your Google or Outlook calendar. This provides a centralized view of your team’s tasks and appointments. You can choose to display these events within your existing calendar or create separate calendars for each user.
ℹ️ This article uses Google Calendar as an example. The same setup and functionality apply to Microsoft Outlook (Office 365).
How does the calendar integration work?
When you create a new lead appointment in Merchant Central, a corresponding event is automatically created in your synced Google or Outlook calendar.
Each event includes the lead’s address, contact name, phone number, and a direct link to the lead record.
Below is an example of an automatically created event in Google Calendar with lead details.
💡The Description field includes a special line: "^^^Enter Meeting Notes Above^^^". Any notes added above this line will automatically sync to Merchant Central as a new note on the corresponding lead.
If an appointment status changes from Not Confirmed to Confirmed, the event title will update automatically.
To reschedule an appointment, simply update the event in either your synced calendar or the CRM calendar. Changes made in one will automatically be reflected in the other.
If you’ve added other users’ CRM calendars to your Google calendar, they will appear in the My calendars section. Use the checkbox next to each calendar to show or hide it.
How to sync a Google Calendar?
Follow these steps to sync CRM appointments and tasks with Google Calendar:

Open your Merchant Central calendar page, click Manage Calendar Sync, and select Google Calendar.

On the Google authentication page, select the account you want to sync and follow the on-screen instructions to complete authorization.

After authorization, you will be redirected to the Merchant Central calendar settings page to complete your configuration.

Choose whether you want to sync Appointments, Tasks, or both.

Your primary Google calendar is selected by default. If you prefer to sync to a separate calendar, choose Create New Google Calendar from the dropdown.

If syncing other users’ CRM calendars, select them here. A separate Google calendar will be created for each user. Use the third column to assign names and colors.
💡 Use the search box in the top-right corner to quickly find a specific user. -
Once configured, click Continue to begin synchronization.

A progress screen will appear while synchronization is in progress.
- Once the process reaches 100%, all events will be synchronized successfully. You will be redirected back to the Calendar page, where a confirmation message will appear. Existing Google Calendar events will also be visible in Merchant Central.
☝️ All-day and recurring events are not synchronized. -
If you added other users’ calendars, they will now appear in the My calendars section in the left sidebar.
After setup, any appointment created in either Merchant Central or Google Calendar will automatically sync between both systems.
How to manage synced calendars?
To manage synced calendars, click Manage Calendar Sync on the Calendar page to reopen the setup screen. Update your preferences and click Continue to apply changes.
To stop syncing a specific user’s calendar, click Unsync next to it and confirm. This will remove all synchronized events and stop future syncing.
To remove all calendar syncs at once, click Unsync All Calendars in the top-right corner of the sync settings page.
