Overview
When an ISO receives an updated merchant processing agreement from a processor, uploading the new PDF as-is can cause some or all of the existing E-Signature field mappings to be lost if the fields in the new document do not match the previous version.
To avoid recreating mappings from scratch, you can copy the PDF fields from the existing E-Signature application into the new PDF, then copy the existing mappings to the new application.
This guide explains how to complete that process so you can update the application while preserving as much of the existing configuration as possible.
Prerequisites
Before you begin, make sure you have:
- Access to the E-Signature application management area.
- A copy of the current E-Signature application PDF (which you can download from the Manage Applications page in Merchant Central).
- The updated application PDF provided by your processor.
- Adobe Acrobat with access to the Prepare Form tool.
☝️ The system does not retain older versions of uploaded PDF files. Download and back up the existing PDF before making changes so that you can restore it later if needed.
Navigating to Manage Applications page
- Open the administration menu.
- Go to Manage → E-Signature → Import PDFs.
- Locate the E-Signature application you want to update and download the mapped application.
How does copying an E-Signature application work?
When a processor provides an updated merchant processing agreement, use the existing E-Signature application (v1) as the basis for the new version (v2).
First, copy the form fields from the v1 PDF into the v2 PDF. Then upload the v2 PDF as a new E-Signature application and use the Copy Mappings action on the mapping page to copy the existing field mappings from v1 to v2.
This helps v2 retain the same form and signature field configuration as v1 without requiring each field to be mapped again manually. After you have reviewed and confirmed that v2 is set up correctly, you can remove v1 or update its access permissions so that users no longer see it.
How to create a new version of an E-Signature application
1. Download the current version
Go to Manage → E-Signature → Import PDFs and download the PDF for the current E-Signature application.
☝️ Save a backup copy of this PDF before making any changes.
2. Open both documents side by side
Download the updated version of the application from your processor.
- Open both the current PDF and the updated PDF in Adobe Acrobat.
- Open the Prepare Form tool for both documents.
- Position the documents side by side so that you can compare their fields.
3. Remove the fields from the new document
Delete all existing form fields from the updated PDF provided by your processor.
4. Copy the existing fields
Copy all fields from the current PDF into the updated PDF, and then save the updated document.
This ensures that the updated application retains the same configured fields, including signature fields, as the previous version.
💡You can select multiple fields at once by drawing a selection marquee around them. Click and drag your cursor over the fields you want to select.
5. Upload the new PDF
Return to Manage → E-Signature → Import PDFs and create a new application.
Upload the updated PDF containing the copied form fields. In this example, the previous application is App #1 and the new application is App #2.
6. Open the mapping page
From the new application, click Mappings to open the mapping page.
7. Open Copy Mappings
From the mapping page, go to Settings → Copy Mappings.
8. Select the previous application
Select the previous application that already contains the mappings you want to reuse, and then click Copy.
If needed, select Clear previous mappings to remove any manual mappings that already exist in the new application before copying the mappings from the previous version.
9. Review and save the mappings
The mappings from the previous application are copied to the new application. Review the mappings and save your changes.
If the new application includes new fields, they must be mapped before the updated E-Signature application is ready to use. For instructions, see mapping E-Signature fields.
10. Complete the update
After confirming that the new application is configured correctly, you can either delete the previous application or change its access permissions so that it is no longer visible to users.
