The CRM enables you to set up personalized voicemail messages both for individual users and for user groups.
Additionally, you can set up a schedule for when the voicemail messages will play, or even set up multiple voicemail messages to be played at different time intervals.
If you don't upload a personalized voicemail recording, then the Dialer provides a generic default message ("Leave a message after the beep").
In this article we show you how to:
- Add a voicemail recording for a user
- Add a voicemail recording for a group
- Schedule multiple messages to be played at different times
Add a Voicemail Recording for a User
Here are the steps to add a voicemail recording for a user:
1. Go to Manage > Administration > Dialer > Dialer User Settings, locate the user you would like to edit, and click on the user's wrench icon:
2. In the popup which appears, click Voicemail Recordings:
3. In the next window, click Add Recording and upload the desired audio file from your PC:
4. Repeat the previous step to add as many recordings as needed (in case you wish to set up different voicemail messages to play at different times):
Note: Each uploaded recording comes with four buttons which allow you to delete the recording, replace the saved recording with a new one, listen to the recording, and set a schedule for when the recording will be enabled:
5. When you click on the Schedule button, the Manage Recording Schedule popup will appear as shown in the below image:
You can use the popup to have your voicemail message enabled all the time (24/7), only in a specific period every day (e.g. 9-5pm every day), or only in specific time periods on selected weekdays:
6. After you've selected your desired schedule click Save, and then save and close all of the remaining popup windows.
Add a Voicemail Recording for a Group
Here are the steps to add a voicemail recording for a user group:
1. Go to Manage > Administration > Dialer > Dialer User Settings, and click on the wrench icon for any user:
2. In the popup which appears, click Manage Groups:
3. In the next window, click on the wrench icon for the group that you wish to edit:
4. Next, click on the Voicemail Recordings button:
5. In the popup window which comes up next, click Add Recording and upload the desired audio file from your PC:
6. Repeat the previous step to add as many recordings as needed (in case you wish to set up different voicemail messages to play at different times):
7. Click on the Schedule button in order to enable the voicemail recording in a specific time period:
8. In the Manage Recording Schedule popup which appears, select to enable your message all the time (24/7), only in a specific period every day (e.g. 9-5 pm every day), or only in specific time periods on selected weekdays:
9. After you've selected your desired schedule click Save, and then save and close all of the remaining popup windows.
Scheduling Multiple Messages
You can have multiple voicemail messages enabled so long as there are no conflicting time ranges.
To enable multiple messages simply select the check-box for each message you wish to enable:
If you try to enable a voicemail message whose schedule overlaps with that of another message, you will see a warning message as shown in the below image:
You will then need to re-check the schedules of the conflicting recordings, make the necessary adjustments, and try to enable the recordings again.
